This policy explains how we collect, use, and protect your information when you visit www.rewriterewrite.com, book a consultation, join The Rewriters Community, or work with Monique Shaw through coaching and workshops or otherwise.

1). Who is looking after your data?

For the purposes of data protection legislation (including the UK GDPR), Monique Shaw / Rewrite is the "Data Controller" of your personal information.

2). The information we collect

To help us effectively serve clients, potential clients and individuals interested in Rewrite’s work and content, we need to collect a few different types of information. We only ever collect what is genuinely necessary and applicable.

  • Technical & Usage Data: Information about how you use our website, your IP address, browser type, and device, gathered via cookies to help our site run smoothly.

  • Identity & Contact Data: Your name, email address, phone number, and location when you book a consult, sign up for a newsletter, or join the membership.

  • Coaching & Career Data: Information you share during our sessions, in intake forms, or via email (such as your career history, goals, and personal reflections). This information is kept securely and is treated as strictly confidential.

  • Financial & Transaction Data: Details about payments you make for 1:1 coaching, workshops, or membership subscriptions. (Note: We use secure third-party payment processors like Stripe/PayPal and do not hold your direct credit card details).

Note: Our services are designed entirely for adults, and we do not knowingly collect data from children or use automated algorithms to make decisions about you.


3). How and why we use your information

We use your data to deliver transformational coaching and community experiences, and to run our business effectively. Specifically, we use it to:

  • Deliver the coaching services, career clinics, or membership you have purchased.

  • Manage our relationship with you (e.g., sending appointment reminders, Zoom links, and invoices).

  • Send you insights, articles, and podcast updates (only if you have opted in to our mailing list. You can unsubscribe at any time. Once unsubscribed, your record is deleted from our email platform Flodesk).

  • Improve our website and services so we can better support clients globally.

Our Legal Grounds: Under UK and global privacy laws, we must have a valid reason to use your data. We rely on:

  • Contract: To fulfil our coaching or membership agreement with you.

  • Consent: When you actively agree to receive marketing emails or accept non-essential cookies.

  • Legitimate Interest: To run our business efficiently, improve our services, and keep our website secure.

  • Legal Obligation: To keep financial and tax records as required by law.


4). Who we share your information with

Your coaching journey is private. We will never sell, rent, or trade your personal data. We only share data with trusted third-party platforms that help us run Rewrite securely and smoothly. These include:

  • Our website host and platform providers (e.g. Squarespace).

  • Booking and calendar systems (e.g. Dubdado, MS Outlook and Google Suite).

  • Payment gateways (e.g. Stripe and PayPal) to process your membership or coaching fees securely.

  • Communication tools (e.g. Zoom for coaching calls and Flodesk, our email marketing software).

Because we serve clients globally, some of these platforms may store data outside the UK/EEA. 5). How we protect your data

We take the security of your data very seriously. To prevent your personal information from being accidentally lost, used, or accessed in an unauthorised way, we use industry-standard security measures. This includes using secure, password-protected systems, enabling two-factor authentication (2FA) where possible, and ensuring our third-party processing platforms utilise secure SSL encryption.


6). How long we keep your data

We only hold onto your information for as long as necessary to fulfil the purposes we collected it for. For coaching clients, we keep our records for the duration of our work together and for a set period afterward to comply with legal, accounting, or coaching accreditation body requirements (typically 1 year for private coaching notes and up to 6-7 years for any relevant financial information processed for accounting and tax purposes).


7). Your Rights

When it comes to your personal data, you are entirely in control. Under the UK GDPR, you have the right to:

  • Access: Request a copy of the personal data we hold about you.

  • Correction: Ask us to fix any inaccurate or incomplete information.

  • Erasure: Ask us to delete your data (the "right to be forgotten").

  • Restriction: Ask us to temporarily limit how we process your data.

  • Objection: Object to us processing your data.

  • Portability: Request that we transfer your data to you or another provider in a readable format.

  • Withdraw Consent: Withdraw your consent for marketing or cookies at any time.
